Company and client data in AI: what to check
Before uploading a contract to AI, understand its contents, the processing purpose and the specific service terms.
Start with one document
Distinguish public information, internal information, contractually protected data and personal data. Use only what the task needs. Remove names and other identifiers when they are unnecessary. Removing names alone does not guarantee anonymisation; other information may still identify a person.
Review the service and account
Check who manages the account, who has access, how long inputs are retained and whether they can be reused. Different plans can have different terms. Record the review and its date.
GDPR and confidentiality
For personal data, assess legal basis, purpose, proportionality and security. For client material, also check contractual and professional duties. Processing in the EU alone does not resolve all these questions.
An example working rule
Use an approved company tool and selected inputs to draft a client response. Before sending, a person checks facts, permission to use the information and the recipient. Your actual rule must reflect contracts and deployment.
Frequently asked questions
Is putting personal data into AI always prohibited?
There is no universal answer. The particular processing, terms and applicable obligations need assessment.
Does MotherAI monitor every personal AI account?
No. MotherAI controls cover processes run through MotherAI within the agreed deployment scope.
